Office Assistant

This position will perform a range of clerical and administrative tasks to support the daily operations of the office.

Our team is looking for a talented Office Assistant to help support the efforts of our fast-growing company. The position will be based in our Oakland, California office. Adapture Renewables, Inc. is majority owned by KIRKBI – the private holding and investment company of the Kirk Kristiansen family founded to build a sustainable future for the LEGO® brand through generations.

Overview

This position will perform a range of clerical and administrative tasks to support the daily operations of the office.

Core Responsibilities

  • Maintains an impeccably organized, clean, and safe office environment.
  • Welcomes visitors to our office in an engaging and professional manner.
  • Distributes incoming mail and packages and collects and sends outgoing mail and packages.
  • Serves as a main point of contact with building management as well as some external service providers.
  • Answers the main phone line and takes/delivers messages and fields general inquiries.
  • Schedules meetings and sends meeting invites to attendees.
  • Orders office supplies and equipment as needed and manages the expenses.
  • Assists with company events, including birthday celebrations, holiday parties, team-building events, and company meals (breakfasts, luncheons, etc.).
  • Provides general administrative support to all employees (including remote).
  • May occasionally need to lift items weighing up to 25 lbs.
  • Working in the Oakland office is an essential duty of the position.

Qualifications and Experience

  • High school diploma required; associate’s degree a plus.
  • At least one year of experience as an office assistant.
  • Proficient in Microsoft 365, especially Outlook and Word, on a Mac.
  • Highly organized and detail-oriented with an ability to multi-task and meet deadlines.
  • Experience with tracking office expenses.
  • Excellent written and verbal communication skills.
